Need to budget for a TM44 air-conditioning inspection, renew an existing assessment or organise inspections across several sites? Oak Tree Rule’s online upload service offers an immediate estimated TM44 fee proposal using an asset list or previous TM44 report you already hold.

Start on our TM44 inspection page and select ‘Upload now’. The upload produces a preliminary scope summary and indicative fee estimate, subject to confirmation by a Level 4 assessor. It is a starting point for a properly scoped quote, not an instant fixed-price commitment or a completed inspection.

Why an asset list makes a TM44 quote more useful

Two buildings of similar size can have very different air-conditioning arrangements. A small number of straightforward split systems is not the same inspection task as a site with central plant, multiple system types or complex controls. A floor area alone may not explain the work involved.

An equipment register or earlier report gives the assessor a clearer starting point: what is installed, where it is located and which questions need resolving. That reduces the back-and-forth involved in preparing a proposal and helps facilities managers compare scope rather than headline prices alone.

What can you upload?

The form accepts CSV, Excel (.xlsx or .xls), PDF and Word (.docx) files, up to 10MB. Upload an air-conditioning asset register, a relevant equipment schedule or a previous TM44 report. Choose the document that best represents the systems currently on site.

Useful information includes the site address, equipment locations, system types, manufacturer and model details, cooling capacities where known, and any changes since the last inspection. For multiple sites, identify which equipment belongs to each address. You do not need to invent missing specifications: flag gaps so they can be checked.

If you are uploading an older report, explain any replacements, additions or removals when the team follows up. Clear, readable files are preferable; incomplete records or image-only scans may need additional information before the scope can be confirmed. Avoid including unrelated personal or confidential information.

How to request your estimated TM44 fee proposal

Open the TM44 upload form, attach your file and enter your name, company and work email. A phone number is optional. Confirm that you are happy for Oak Tree Rule to use the file and contact you about the TM44 quote, then submit the form.

The tool reviews the uploaded information and displays a preliminary result online. Keep the original document available for the assessor and note any access restrictions, operating hours or equipment changes that are not apparent from the file.

What the immediate result tells you

The result combines an indicative fee proposal with an AI-generated scope summary. Depending on the information available, it can identify estimated systems in scope, system types, cooling capacity, an assumed inspection level, complexity flags and follow-up questions.

The fee proposal can show a base fee, distance uplift, multi-site discount and estimated total, with notes explaining assumptions. These are preliminary figures, not a published tariff or a guarantee that every site qualifies for a discount. Check the notes and VAT wording, and ask the team to confirm the full payable amount in the formal proposal.

Treat missing specifications and uncertain capacities as matters for review, not confirmed findings. Automated document analysis can misread or omit information; an assessor needs to confirm the inspection scope before you appoint the service.

From online estimate to a formal quote

After a successful submission, the team is notified and will follow up within one working day with a properly scoped fixed-fee quote. This review is where equipment details, site arrangements, access and any outstanding questions can be confirmed.

A previous report does not prove the current installation is unchanged or that its inspection remains valid. The upload service does not inspect equipment, establish legal compliance or issue a lodged TM44 report. For the wider background, read our TM44 legal requirements guide.

Planning renewals across a property portfolio

For facilities teams and managing agents, a consistent asset register makes portfolio planning easier. Group records by site, identify previous inspection dates and flag gaps before requesting proposals. The team can then discuss the appropriate scope and scheduling rather than assume every building needs the same service.

Our multi-site TM44 guide explains the wider portfolio approach. If you do not have a usable file or need to discuss unusual plant, contact Oak Tree Rule instead. Otherwise, upload your existing records to start with an immediate indicative estimate and progress to an assessor-reviewed quote.

Frequently asked questions

Is the instant TM44 estimate a formal quote?
No. It is an indicative fee proposal and preliminary scope summary based on your upload. A Level 4 assessor must confirm the scope before the team provides a formal fixed-fee quote.
Can I upload a previous TM44 report instead of an asset list?
Yes. A previous report can provide a useful starting point. Tell the team about equipment changes since it was produced so the current scope can be checked.
Which file formats does the upload form accept?
CSV, Excel (.xlsx and .xls), PDF and Word (.docx), with a maximum file size of 10MB.
What if cooling capacities are missing from my register?
Upload the information you have and flag the gaps. Missing capacities may limit the estimate and require further checks; do not invent figures to complete the file.
Will uploading a report renew my TM44 inspection?
No. The upload is for scoping and pricing only. It does not carry out an inspection or issue or renew a TM44 report.
